1. YOUR BOOKING
1.1 Prices & Inclusions
a. All prices listed are per person and are in pounds sterling (£).

b. Prices are [State: Inclusive of VAT / Subject to VAT] at the prevailing rate.

c. Prices are guaranteed once your booking has been confirmed and the deposit paid, unless you request an amendment.

d. The confirmed price covers the specific services listed in your booking confirmation, including accommodation, meals (as per the programme), workshops, talks, and entertainment.

e. Transfers from designated locations, if included or requested, are subject to a separate fee which will be confirmed and added to your final balance, unless explicitly stated as complimentary.

1.2 Deposits and Payments (Consumer Law Explained)
a. Deposit: Your deposit secures your place and locks in the quoted price.

b. Statutory Cooling-Off Period (UK Law): As this is a booking made at a distance (online), you have a legal right to cancel this contract within 14 calendar days of booking confirmation and receive a full refund, including your deposit.

c. Event Exemption: Please note: This 14-day right exists to allow you to review the terms of sale. Given that this booking is for the provision of accommodation and leisure activities on specific, fixed dates, your right to cancellation based on consumer law ceases after this initial 14-day period has elapsed.

d. Post-Cooling-Off: After the 14-day period has passed, the deposit is non-refundable and non-transferable, and your booking is then subject to the cancellation charges detailed in Section 1.3.

e. Payment Due: Full payment is due four months (120 days) before the event.

f. Failure to Pay: Failure to complete full payment by the designated due date will be treated as a cancellation by the Client (see Section 1.3), resulting in the forfeiture of the deposit and the loss of the reserved place.

g. Payment Options: Payments can be made via PayPal credit/debit card using our secure online payment link or by bank transfer.

1.3 Amendments and Cancellations by the Client
a. Amendments: Changes to a booking (e.g., name changes, room downgrades) may be feasible if requested more than 8 weeks before the event, subject to availability. A £50 administration fee per person will apply for all confirmed amendments. Room allocation is at the Company's sole discretion and specific room requests cannot be guaranteed.

b. Cancellation Policy (Sliding Scale): If the Client cancels their booking, the following charges apply (based on the date written notice is received by the Company): * Within 14 days of booking: Full refund, including deposit. * After 14 days up to 120 days (4 months) prior to the event: Loss of deposit only. * Less than 120 days (4 months) prior to the event: 100% of the total fee is due/retained.

c. Non-Attendance: If the Client or any Guest fails to attend any part of the booked Retreat, 100% of the holiday cost will still be charged, and no refunds will be issued.

d. Medical Reasons: Claims for losses due to medical cancellation must be directed to the Client's comprehensive travel insurance provider. The Company does not offer refunds outside of this sliding scale for any reason.

2. TRAVEL INSURANCE
We highly recommend that all individuals listed under your booking obtain comprehensive travel insurance immediately upon booking. This insurance should cover, at a minimum, cancellation charges in line with our policy, medical expenses, and personal liability. The Company will not assume responsibility for any liabilities, losses, or expenses you may encounter that would be covered by adequate travel insurance.

3. CHANGES MADE BY THE COMPANY
a. Significant Amendments: If the Company must make a significant amendment (e.g., changing event dates by more than 6 hours) or cancel the Retreat entirely, the Client will have the option to accept the changes, book an alternative Retreat, or receive a full refund. Minor amendments do not trigger the right to a refund.

b. Force Majeure: The Company shall not be held liable for cancellations or alterations resulting from unforeseeable circumstances constituting Force Majeure, including, but not limited to, acts of God, terrorism, civil strife, or adverse weather conditions. If cancellation occurs due to Force Majeure, the Company will aim to transfer the booking to a postponed date.
